Privacy Policy & Patient Policies

MD Health Clinic Marlton ("we," "our," or "the practice") is committed to protecting your privacy. This page explains how we protect your health information, how we handle information you share through our website, and the policies that help our office run smoothly for every patient.

Your Health Information Is Protected

Your medical information is protected under the Health Insurance Portability and Accountability Act (HIPAA). We take patient privacy extremely seriously, and our staff are trained to handle your information with care and confidentiality.

How we use your information

We use and share your health information only as needed for:

  • Treatment: for example, sharing relevant records with specialists you are referred to, or with your pharmacy and laboratory.
  • Payment: for example, billing your health insurance plan.
  • Healthcare operations: for example, quality reviews and improving the care we provide.

We do not sell your information, and we do not share it for marketing. Any other use of your health information requires your written permission, except where the law requires or allows it.

Your rights

As our patient, you have the right to:

  • Request copies of your medical records, including in electronic form
  • Request corrections to your records
  • Request restrictions on how we share your information
  • Request confidential communication (for example, asking us not to leave voicemails)
  • Receive a list of certain disclosures we have made of your information
  • Receive a paper copy of our Notice of Privacy Practices
  • File a complaint if you believe your privacy rights have been violated

You may file a complaint with our office or with the U.S. Department of Health and Human Services, Office for Civil Rights. We will never take action against you for filing a complaint.

Our full Notice of Privacy Practices is provided at your first visit and is available on request at any time.

Information Collected Through Our Website

When you use our website, we may collect:

  • Information you provide: your name, phone number, email address, preferred appointment times and insurance details when you fill out our appointment request or contact forms.
  • Basic usage information: pages visited, browser type and general location, collected through cookies and analytics tools. This helps us understand how visitors use the site and improve it.

We use this information only to respond to your request, schedule your care, and improve our website. We do not sell or rent it to anyone.

Please do not send detailed medical information through website forms or email. These are not intended for medical communication. For questions about your health, please call our office or use your secure patient portal.

Online booking and third-party services

Online appointment booking is provided through our scheduling partner, Breeze. Information you enter there is handled under their privacy and security practices. Our website may also link to other sites, such as Google Maps, Facebook and Instagram. We are not responsible for the privacy practices of those websites.

Cookies

You can set your browser to refuse or delete cookies. Some parts of the website may not work as intended if cookies are disabled.

Security

We use reasonable administrative, technical and physical safeguards to protect your information. No website or internet transmission is completely secure, which is why we ask you to keep medical details out of web forms and email.

Children's privacy

Our practice provides care for adults 18 and older. Our website is not intended for children, and we do not knowingly collect information from children.

Cancellations & No-Shows

Appointments are valuable for both our patients and our practice. Please give us at least 24 hours' notice if you need to cancel or reschedule.

Cancellations with less than 24 hours' notice may be subject to a missed appointment fee [confirm amount, if any]. Repeated no-shows without notice may affect future scheduling.

We understand that life happens: emergencies, illness and family situations. If something comes up, please call us as soon as you know. We're reasonable.

Billing & Payment

Copays are due at the time of service. We accept cash, credit cards, and most HSA/FSA cards. After your insurance processes your claim, you will receive a statement for any remaining balance.

If you have questions about a bill, please call our office. We're happy to go through it with you line by line. For patients facing financial hardship, payment plans are available. Please ask.

Balances unpaid for more than 90 days may be sent to collections. We work with patients to avoid this, so please reach out early if you're having difficulty paying.

Prescription Policy

Prescriptions are sent electronically to your preferred pharmacy. Whenever possible, please request refills through your pharmacy. They have systems to reach our office quickly.

For controlled substances and complex medications, an in-person visit is generally required before a refill. Federal regulations limit how controlled substances can be prescribed, and we follow those rules carefully.

We do not refill medications during after-hours phone calls except in genuine emergencies. Please plan ahead and request refills before you run out.

Patient Communication

You can reach our office during business hours at (856) 275-6780.

After hours: for urgent medical concerns, go to your nearest emergency department. In an emergency, call 911.

Non-urgent messages can be left on our voicemail or sent through your patient portal. We respond within one business day.

Lab results are reviewed and posted to your patient portal within 24 hours of receipt. Dr. Rana will contact you personally about any results that need discussion.

Changes to This Policy

We may update this page from time to time. Any changes will be posted here with a new effective date.
